1. Job Purpose

 

The job consists in:

To manage the company Quality and Environment management systems to ensure operational adherence to documented company standards and practices. Develop and maintain company procedures to ensure continued certification to ISO standards. Develop suitable auditing methods and maintain focused compliance reporting for specific company products and customer groups.

Job Challenge
The maintenance of all environment management systems is important for the company, as they have significant implications on the business. The job holder must understand operational and administrative systems and procedures to communicate and apply Company and ISO requirements.
Key focus on driving improvement towards customer satisfaction.

- Maintain ISO Accreditation.
- Develop customer group and product relevant compliance auditing and reporting.

 

Accountabilities
Key activities
Implement, drive and develop the current Quality and Environment systems.

To be the recognised point of contact for ISO and company Quality standards.

Liaise with the external assessment bodies to maintain the national schedule of external surveillance visits.

Review, update and maintain the Environment Management System (EMS), the Quality Manual and their associated procedures and working instructions, ensuring that they continue to meet the needs of the business and minimum legal requirements and are compliant respectively to ISO9001 and ISO14001 certification.   

Ensure that a program of internal audits is maintained and that all audits are completed to the agreed specification and detail.

Maintain the flexibility to respond at short notice to requests to perform compliance audit of customer relevant and / or product specific procedures. 

Maintain the quality system and schedules of internal audit to agreed timescales, reporting the results and corrective action to UK Senior Management.

Monitor to conclusion all areas of non-compliance.

Produce monthly analysis and reports communicating results to UK Senior Management.

Process enquiries from customers, potential customers or managers concerning any aspect of ISO certification.

Increase the Business Management Auditor’s level of understanding of the requirements of the ISO standards.
Conduct internal audits on sites selected for external audits to ensure they are prepared.

Ensure all Environment Officers, Local Quality Representatives, Service Centre Managers and other key staff are given the correct level of quality and environmental training

Conduct Training Sessions where required.

Manage any projects required or those suggested by the external auditor as part of ISO9001/14001 continuous improvement requirements, in conjunction with the on site Management.

Performance manage the Business Management Auditors, coaching and advising on initiatives for service performance improvement solutions.

Ensure that the audit program is carried out within the designated area, to agreed time scales, managing workload efficiently to ensure personal performance targets are achieved.

Carry out investigations as assigned by the UK Operations Performance Group Manager in order to resolve and identify areas of service performance improvement.

Be responsible for adhering to all current security procedures to ensure the safekeeping of all company and customer property.

Be responsible for adhering to all statutory and company regulations outlined in the Health & Safety policy.

Maintain or update Company systems, gather necessary data, communicate identified deficiencies and recommend corrective actions. Ensure continued certification to ISO9001 and ISO14001.

Problem Solving
Ability to interpret the ongoing operational requirements of the Company in order to produce environment procedures which contain the flexibility to meet these needs, yet continue to support the requirements of ISO9001 and ISO14001.

Ability to address/understand day to day operational issues within Service Centers and departments in scope.

A role in which the job holder uses considerable judgment in reviewing the systems and procedures necessary to maintain a Environment Management System.

Planning and Organization
Continuously revise and define the scope of the audit to meet operational needs and counteract deficiencies found.
Ability to effectively prioritize the most important work/tasks.

 

3. Qualification

 

Appropriate operational management experience, preferably within UK, overseas or externally in a similar role.
Appropriate experience in the management and development of Quality systems.
Project Management skills
Analytical skills essential.
Ability to communicate effectively in both written and verbal format is essential.
Good interpersonal skills are required; i.e. conflict handling, negotiating and consensus building.
Proven business skills in report writing, presenting, negotiating, influencing and consultancy are essential.
PC skills and familiarity with MS Word, Power Point and Excel is essential. Knowledge of MS Visio is recommended.
Ability to understand, maintain and upgrade the central quality system databases via liaison with the IT Department.
Organisational and planning skills are essential.
Decision-making and ability to use ones initiative are essential.
Analytical and thorough understanding of concepts of environment management
Must be able to achieve and maintain respect from Management and colleagues.

 

4. Working conditions

 

The job holder will directly manage a ‘remote team’ of auditors and must expect some unsocial hours working. The job will involve frequent travel within the UK and Northern Ireland with occasional overnight stops.
